How to easily track bridal shower RSVPs

 

Ever wondered if there’s an easy way for you to easily track bridal shower RSVPs? Keeping track of bridal shower RSVPs may sound like a daunting task, especially if you have a large guest list, but don’t worry – there IS an easy way to keep track! You’ll find some tips and tricks below, plus information about my free Pretty Printables Ink bridal shower tracker, to help you stay organized so that you can easily keep tabs on the number of guests attending and who you still need to track down with our helpful list below.

Keep track of contact information
First, get a list of all the guests who the bride and family wish to invite to the shower. Make sure to ask the bride for the address, email and phone number for each guest. If the bride does not know the guest’s address, make it as easy as possible for her by at least getting an email or phone number and reaching out to the guest for the information. The bride has enough to worry about as it is, let alone tracking down contact information! Most likely, the bride should have most of the addresses – after all, only guests who are invited to the wedding should be invited to the shower, so guests should have already received a wedding invitation from the bride-to-be.

Have one point of contact for RSVPs
Have only one person – usually the host or maid of honor – as the RSVP contact. This way, one person is collecting all of the RSVPs and it limits the chance of the response not getting tracked. Sometimes, when there are two contacts, guests may accidentally respond to both, leading to a double RSVP count. Just keep it simple with one point of contact so that all responses are tracked and accounted for.

How to edit the Pretty Printables Ink shower guest tracker
To edit the document, you’ll need to open up the document, select “file” and then “make a copy.” This will save the document to your Google Drive. Rename it to whatever you want to call the document, like “Heather’s bridal shower guest list,” and then you’ll be able to add in all the names, contact information, etc.

All changes are saved automatically, so you never have to worry about losing your work. Plus, you can always go back and restore previous versions, if needed.

How to share the document with other hostesses
Want to allow other people to edit the spreadsheet or have access to view it? To give others editing access, simply click on the blue “share” icon in the top right corner. Add the email address(es) for the people you wish to share it with, and then click Okay.

If you want to allow people viewing status only, simply select “share” and then “get shareable link” in the top right corner of the pop-up message. This will allow people to view the spreadsheet, but they won’t be able to change any information on it.

Keep track of information and gifts for the bride
Not only will my free guest list tracker template help you keep tabs on RSVPs, but you’ll also be able to provide the bride-to-be with the most recent contact information for her guests, and you can also print off the gift tracker template before the shower and keep track of gifts from each guest by filling out the ‘gifts’ column while the bride-to-be unwraps them at the shower. This will allow the bride to easily track who gifted what so she can write thank you cards after the shower. And, if you want to be the maid of honor/bridesmaid-of-the year, print off address labels for the bride-to-be for each guest so that all the bride has to worry about is writing her thank you cards and placing the labels on each envelope. She’ll be forever thankful for the hand cramping you saved her from.

Organize guest tables
If you’re hosting the shower at a venue that has seated tables, you can also easily track which table each guest is sitting at. That way, if you’re doing assigned seating, you can either print off a seating chart or seating cards to have at the event, or in a pinch, you can access your Google doc on your phone to assist people with finding their seat. And of course, if you don’t need to utilize the guest table column in the spreadsheet, you can just delete or hide the column.

How to access the template on the go
Simply download the Google Drive app to your phone. All you will need to do once it’s downloaded is log into your Google account and then click into the doc to edit. Super easy!
